This guide will help you use the different functions available on the dashboard
Lefthand side menu bar
On the dashboard, there is a menu bar on the left which has different functions
Starting from the top to bottom
A+ Icon - Selecting this button will consistently redirect you back to the dashboard
Parents & Enquiries - This section gives you access to the parents and enquiries table, allowing you to view their information and manage them.
Orphaned parents are those who are not linked to any student.
Communication and Events - In this section, you can manage your email templates, schedule meetings, and create events.
Registered students - This section provides an overview of the various statuses of students. By clicking on a specific status, you will be directed to a student table that presents a list of students filtered according to your selection.
Enrolment - This section is mainly intended for sixth form usage. If you would like to use this area, please contact your Customer Success Manager (CSM), as it needs additional configurations such as adding subjects or courses and setting up the enrollment form.
Data tab - This section enables you to import, export, and upload files.
Manage Users - In this section, you can manually add users, including parents, enquiries, staff, and students. Additionally, you can effectively manage duplicate entries within the platform.
Product Essentials - Displays the system updates and announcements for the platform.
Dashboard menu - Overview, Reports etc.
Dashboard top menu buttons & Icons:
Multiple form dropdown - The other forms can be accessed by selecting them from the dropdown menu.
Knowledge base - This will show you guides for different areas of the platform.
Search bar - Quickly search for students and parents on the platform. The results will also include information available in other forms
Referral - You can receive an Amazon voucher based on the number of schools you refer to use Applicaa.
Admissions network - under maintenance
Chat with us - Chatbot AI assistant using the Applicaa knowledge base
Feature request - You can request any features you'd like to see implemented to help improve A+.
Raise a ticket - If you are experiencing technical issues or bugs in the system, you will need to raise a ticket. Please consult your CSM first.
Notification bell - This will show you all the notifications from the different forms on your platform.
Avatar Icon - You can change your user password here, log out, and enable the daily email digest.
Overview tab - This section provides a comprehensive summary of your dashboard's key metrics and activities.
Reports - You can create reports using the platform's data by generating charts or graphs. Please see this guide.
Recent Activities - This will show you and keep track of user activity on the platform
Application groups - you can create an application group to help you group students
Offers - it shows you the offers list you created where you can add your students
Subject summary -provides a concise overview of the subjects that are currently available
Timetables - This section allows you to set up and manage your subjects along with class schedules effectively.
Tasks - Staff users can utilize this feature as a task management tool to keep track of their responsibilities on the platform.
Calendar - Easily navigate to the calendar to view all the events scheduled on your platform.
All activities - displays all activities occurring within the various forms on your platform
Settings
In the bottom left corner, you can access the settings to configure the different areas of the platform.
Dashboard tiles
Dashboard tiles give you quick access to a student table that is filtered based on the criteria you set. Please see this guide for adding dashboard tiles.
Student table
From the dashboard, there are two ways to access a student table, either from the registered student's tab or a dashboard tile available
On the student table, you can select the students individually or in bulk by using the checkbox. Action buttons will also then appear on top.
Action buttons
Change application status - changing the application status of the student manually
Offer, Offer list - You can create and approve an offer here, and add students to an offer list.
Change Enrolment status - change their status in enrolment manually
Change Internal Status - gives you the option to move students to Internal or External status
Change Phase status - change the status within a phase of the application form, such as marking it as pending or approved.
Add to group - adding students to an application group
Remove from group - removing students from a group they are in
Communications - this will give you options to send an email, a notification, an SMS, a Reference request and a welcome email.
Reset password - this will let you change their password and also notify them by sending an email which contains the login details so they can log in to the platform
Change colour - The selected colour will visually differentiate rows of students for better organization.
Bulk update - This action allows you to update the responses to questions in the form for multiple entries at once
Add to meeting - adding students to a meeting created
Export to PDF - you can create a template and select which steps in the application form you want to export the data from
Confirm Account - This feature allows you to verify the user's account on their behalf, enabling them to access the platform
Step status - this will show you a report of the student's progress in the application and you will be able to export the data as an Excel or CSV file
Export - this allows you to export the student table data as a CSV file or an Excel file
Student Profile
You can access the student profile by searching the name of the student at the search bar on top or from a student table by clicking on the first or last name of the student.
Parent table
Go to the parent & Enquiries tab and select parents, this will then bring you to the parent table where you can view and manage them. You can select the parents individually or in bulk by using the checkbox on the table. Action buttons will then appear once the checkbox is ticked.
Welcome email - you will be sending a welcome email to parents when you have manually added them to the system
Send email - this will prompt the email processor and let you choose an email template or write a new message and from other you can send an email.
Send SMS - you need to register and have an account on esendex to use this function
Reset password - you can do this on behalf of the parent and will let you send an email to them containing the login credentials
Change colour - The selected colour will visually differentiate rows of parents for better organization.
Export - you can select the parents individually or in bulk and export the data on the table as an Excel file or a CSV file.
Filter - You can select and implement filters that will be applied to the parent table according to your specified criteria.
View - You can create a new table view where you can select the fields and add the columns you want to be on the table.
Parent Profile
On the parent table, click on either the first or last name highlighted in blue. A new tab will then open, and you will be brought to the parent profile as an admin user.
Another way to look for a parent is by using the search bar at the top
In the parent profile, You can see their details and there is an actions area where you have different options:
Send Email, Send SMS
Impersonate - view the parent profile as the parent
Add student - manually add a student that will be linked to the parent
Add enquiry - manually add an enquiry from the parent profile
Print - print the details of the parent on their profile
Reset password - resetting the password on their behalf, an email will be sent to them with the login credentials
Confirm this Account - when manually adding a parent, confirming the account will verify through an email
Communication log - you can monitor and review all communications conducted with the parent
Delete - this will delete the parent profile from the system
Enquiry Table
To go to the enquiries table, click on the parents and enquiries tab and select enquiries, this will then bring you to the table where you can view and manage your enquiries on the platform. You can select the enquiries by using the checkbox on the table. Action buttons will then appear on top.
You can manage your enquiries by:
Creating an Enquiry Group
Colour Coding - you can apply colours which will apply to the enquiry row. This is also for organizational purposes
Send Email - this will prompt the email processor and let you choose an email template or write a new message and from other you can send an email.
Export Summary PDF - You have the option to export the enquiries table as a PDF file. Simply select the specific enquiries you wish to include in the export, and the data will be extracted accordingly.
Restricting Enquiries
Editing your enquiry form
To change the settings on your enquiry form and restrict enquiries, On your dashboard, Go to Settings and select Application Form.
In the Account Creation phase, go to step 1: Enquiry by clicking on the word itself or the cog button on the right.
In this step, go to the “other settings” section by selecting it from the left-hand side menu or by scrolling down.
In this part of the section, this is where you can find the setting “Enquiries Need To Be Approved Before Starting An Application”
- This setting can be toggled on or off.
- When using this setting, Select the year groups for which you want to approve enquiries. Any omitted year groups will not require approval.
- Turning the setting off will allow your enquiries to start their application immediately upon logging in.
- By turning this setting on, once the parents create an account, an enquiry will be submitted. When they log into their profile, the option to start an application for the student will be locked until you approve them to proceed.
A note will then be displayed below saying “Thank you for completing your enquiry form, we will be in touch with further information regarding the next stage of the process soon.”
Changing the Enquiry status
There are different ways to change the enquiry status of your applicants.
The First option is from the parent profile, scrolling down and looking for the enquiry created on the right-hand side. From there you can change the enquiry status to “pending” or “approved”
Another way to change the enquiry status is from the Enquiries table.
Navigate to the Parents & Enquiries on the left-hand side menu bar and select enquiries, this will bring you to the enquiries table.
In this table, You can change the enquiry status individually or in bulk.
Select the enquiry by ticking on the checkbox, once selected, The action buttons will then be displayed on top. Click on Change enquiry status and set it to “pending” or “approved”.
Once you have updated the enquiry status and approved them, only then the parent will be able to start their application.
A note will also be displayed saying “Available form: (year on entry)”
You will need to notify the parents that they can now start an application form, by either calling them to advise or emailing them.
