This article will show you how to make changes to the subjects students wish to study and how to inform them of the courses offered to them
Students can be informed of changes made to their subject choices by sending them an email. You can include the information from the 'Subjects you wish to study’ field on the Student Home Page in your email. This specific field will show them the list of updated subjects after you have made the necessary changes to the subjects they have applied for.
To make sure that this specific field shows on the Student Home Page, please follow the steps below.
Go to Settings > Form Settings > Student Home Page.
Scroll down to Settings and make sure that the 'toggle button' is switched on (showing colour blue) for the 'Show Courses You Wish To Study' option.
Updating the subjects the student applied for
You can make any changes to the subjects applied for on behalf of a student by clicking on the 'Impersonate' icon from the student's profile.
You will now have access to the Student Home Page and can now go to the 'Courses Step' from their Application Form to change the subjects by adding or deleting them.
To remove or delete a subject, click on 'Deselect' button or simply click the 'x' to the upper right of each subject name. On the other hand, you can click on 'Select' button to add a subject to which will now show in the 'Your Selection' field as shown below.
Save your changes and click "back to admin" to return to the staff view of your system.
Updating the subjects you are offering to a student
You can also use the Offer Courses listing to update the subjects you are offering to a student, if you do not want to amend their original application form choices.
See how to activate the Offer Courses listing here.
To remove a subject from the Offer Courses listing, click the bin icon, and you can add new courses to the list by selecting them from the dropdown menu and clicking the + icon.
Creating your own template to inform students of changes
To create a template to inform the students of the changes made to their preferred subjects or courses selection, go to Communications & Events > Communications > Manual Messages.
You can use different tokens that will best fit with the email or templates that you are creating to inform students about the subject changes. In the 'Mail Merge Field', you can select the personalisation tokens that you need to be able to include the subjects in your email as in the images below.
The "Offer Courses" show the subjects which are listed on a student's Offer List.
The "subjects applied for" relate to the subjects selected on a student's application form.
Save your template and it will then be available for you to select and insert when sending an email to an individual student, or as a bulk action.
Sending the "Make Offer" email template to inform students of their offer, or changes to their offer
Click here for the article on how to send offers in bulk which will also show another way to send the email to inform the students of the courses being offered to them.
Once an offer has been sent, if you make changes to their Offer Courses listing you may want to resend them the offer.
To do this; first withdraw the original offer. You will then be able to resend the offer, which will contain the newly-updated subjects from the Offer List.
