This guide explains how to close your application form to stop new submissions, prevent registered students with incomplete applications from submitting late applications, and manage editing permissions for submitted applications.
Closing the Form to Stop New Applications
To effectively manage your application process, you may need to prevent new students from applying once you reach your application form deadline. Closing the application form allows your admissions team to focus on processing the submitted applications without being overwhelmed by new submissions.
Step-by-Step Instructions:
-
Navigate to Application Form Settings:
From the Dashboard go to Settings > Application Form. -
Access Global Form Settings:
Click on Global Form Settings to manage application restrictions. -
Enable Restrictions:
- Turn on "Stop new students from applying" to prevent any new applications.
- Enable "Prevent parents from adding new applications" if your process involves parent submissions.
These settings will disable the Start New Application button on the landing page, ensuring that no further applications can be started.
Preventing Late Submissions for Incomplete Applications
To streamline the admissions process, you may also wish to prevent registered applicants with incomplete applications from submitting their forms after the deadline. This approach helps uphold application deadlines and ensures a well-organised workflow.
Step-by-Step Instructions:
-
Navigate to Phase View in Application Form Settings:
Click on the Pencil under the actions column to Edit the Application Form Phase Settings -
Disable Submissions for Incomplete Applicants:
- Edit the Application Form Phase Setting to stop incomplete applicants from submitting their forms.
- Turn on the Disable Submissions toggle button. This ensures that applicants at any stage (partially complete or incomplete) cannot progress further with their application.
- You have the option to configure these settings separately for both Internal and External applicants.
Managing Editing Permissions for Submitted Applications
Once an applicant submits their application, locking the form prevents them from making any further changes, ensuring the integrity of the application process. This measure protects the admissions team from discrepancies that could arise from modifications, allowing them to focus on evaluating submitted materials.
Note: you will still be able to make changes on their behalf, but applicants will be prevented from doing so themselves.
Within the Form Phase Settings:
- You can choose to lock the forms after submission, preventing applicants from editing completed applications.
