SIMS sync adding a new contact (Independent schools only)

This guide will explain how Applicaa/SIMS decides which existing contacts to suggest when adding a new parent or contact.

Applicants adding a parent or contact to an application in the “Parent/Guardian” step may notice that Admissions+ suggests existing contacts that might be relevant to them. If selected, the system will import their details to the “Add contact” form. This option is only available to customers using the SIMS Sync. 

There are two sources from which contacts are suggested from:

Within Admissions+

Shared contacts across applications created by the same Applicaa user, for example:

Contact A (with parental responsibility) creates an application (Application A) within Admissions+ and adds Contact B (with parental responsibility) and Contact C (without parental responsibility) for this applicant on the “Parent/Guardian” step. When Contact A creates a second application within Admissions+ (Application B), all contacts (Contact B and Contact C) added to Application A will be suggested. This is correct as they were initially created by Contact A to begin with.

In this scenario, if Contact B were to create their own Admissions+ Parent Account and start Application C, then Contact A and C may not be automatically suggested, as this would be based on SIMS logic below.

From SIMS

These suggestions will be based on SIMS relationship data - contacts are suggested if they are associated with a student’s sibling. The linkage is specific to students type records in SIMS, not applicants.

In this situation, Admissions+ only suggests contacts that have parent responsibility marked as = YES.

So using the same scenario as before, if Contact B were to create their own Admissions+ Parent Account and start Application C, Contact A (with parental responsibility) would be suggested, but Contact C would not.
