Default Stages

All schools will have the following stages prepopulated

1. Enquiry - Parents or applicants who create an account and express interest.
   For independent schools this column also includes registered event guests that have not yet gone onto start an application
   
   1. For state schools, this stage will be called "Event Guests" - the number of people registering for events
      
2. Application Incomplete - Applications started but not yet submitted
3. Awaiting Reference - Applications pending receipt of required references
4. Application Submitted - Complete applications that have been submitted for review
5. Offer Made - Applicants who have been sent an offer of a place
6. Offer Accepted - Applicants who have accepted their offer
7. Offer Declined - Applicants who have declined their offer
8. Enrolled - Successfully enrolled students

Customising Pipeline Stages

Click the edit icon in the top right to customise your pipeline stages. For each stage, you can configure:

Stage Name

• Default statuses are locked, but you can add custom stages

Conversion Weight

• Set the percentage of people who typically convert from this stage
• Used to forecast likely enrolments (and revenue for independent schools).

Inactivity Threshold

• Define the number of days before an applicant is marked as inactive
• Helps identify applicants who need attention
• Flags those requiring follow-up action

Creating Custom Stages

You can add new stages using custom filters. For example:

• Create a "Deadline Missed" stage by filtering for specific application statuses
• Applicants automatically appear in custom stages when they meet your criteria
• Visualise specific segments of your pipeline

Search Functionality

• Search for any applicant or enquiry by name
• Quickly locate specific applications
• Instant results or clear "not found" message

Health Score Indicators

• Smiley face icons show engagement level for each applicant
• Quickly identify highly engaged applicants likely to convert
• Focus your efforts on those who need more attention

Applicant Cards

• Click on any card to see more information about an applicant
• Click the applicant's name to open their full profile in a new tab
• Scroll through stages to see your entire pipeline

Filtering

• Use the filters at the top of the page to drill down
• Filter by year of entry, year group, or other criteria
• Pipeline updates instantly to show matching results

Revenue Forecasting (Independent Schools Only)

Independent schools can use conversion weights to:

• Forecast the number of students likely to progress from each stage
• Calculate potential revenue from each enquiry or application
• See the percentage of revenue likely to be realised based on conversion rates
