This guide will tell you how to send offers individually or in bulk
You could first of all move your applicants into application groups if you will be sending different offers/emails to some students.
Once you have selected the applicants you wish to make an offer to, there are 3 steps: Creating an offer, Approving an offer, and Making an offer.
Step 1: Creating an Offer
- First thing you need to do is create an offer, this will only update the student's offer status - nothing will be sent at this point.
- Creating an offer in bulk from a student table
From a student table, click the "Offer" button, and select "Create Offer" This will prompt a window where you need to select the offer letter template you wish to send.
Select a template and the system will show you a Preview of the offer letter:
By doing this, It will update the offer status of the student to "Offer Created" (nothing will be sent at this point)
- Creating an offer individually from a student profile
- By updating the offer status, you can create an offer and follow the same steps mentioned above.
Step 2: Approving an Offer
- Once you have created an offer, it must be approved first before sending it. We have this step as some schools like to have two people look over the offer before it is sent, and also to ensure offers can't be made by accident.
- Approving an offer in bulk from a student table
From a student table, select the student using the tickbox on the top of the table then select offer, and click on the "Approve offer" button.
- Approving an offer Individually from a student profile
- Go to the student profile then update the offer status and click on "Approve offer"
This will update their offer status to "Offer approved"
Step 3: Making an offer
- The last step is making an offer, this will now send an email to any contacts with legal responsibility and who have communications enabled on their profile. It will notify them that there is an offer available on their profile for them to accept and sign.
Note: Before you send any offers, please ensure contacts have a confirmed email address in you platform - please refer to this guide on how to verify their account. It is also vital that they are marked yes to receive communications within the platform.
- Making an offer in bulk from a student table
From a student table, select the students by using the tickbox on top of the table and click on the offer button and select "Make offer"
This will then prompt a window giving you an option to send an email about the offer or not.
Once you have made the offer and selected to send an email, the email processor will be launched and will show you a preview of the email template. This is the "Make offer to student" template. You can still add more personalised content if needed before sending.
This email will notify the contact that there is an offer available on their profile for them to accept and sign.
IMPORTANT: the email includes a "Quick Access Link" token. Please do not delete this.
The purpose of this link is to allow another parent or contact, who does not have an account on A+, to access the offer phase so they can also sign and accept the offer.
Again, you have the option to send the offer with or without an email. Some schools choose not to send emails, but rather to make all offers within the platform before a specific date or event, then on that date they ask all contacts to log in and accept their offers.
- Making an offer individually from a student profile
Again, this button is linked to the "make offer" automated email template.
Once you have sent or made the offers, the offer status of the student will now be updated to "Offer Made"
